Frequently Asked Questions

  1. Does Civic Permits allow facilities to be double-booked?

New requests cannot be made if a permit has already been issued, or is in the process of being issued, for the requested facility with overlapping dates and times.

This feature can be turned off if your district want to manually review double-bookings.

  2. How are invoices created?

Invoices are created using the information from your district's fee schedule. When the invoice is being created you have the opportunity to override the calculations and enter custom amounts. A copy of the invoice is then emailed to the requester, who can then pay by credit card (when enabled) or by check.

  3. Is there a calendar for each school?

Each school has its own calendar that shows approved events happening at their school. Each school can link directly to their calendar from their web site.

  4. What are the requirements for Civic Permits?

Civic Permits is designed to work with the current or immediately previous version of Internet Explorer, Firefox, Chrome, or Safari. All browsers must have cookies and JavaScript enabled. To view documents uploaded by users you will need a PDF reader. Any information you send to Civic Permits is sent securely; if your organization has a firewall that blocks HTTPS websites an exception must be added for Civic Permits.

  5. Is my data safe?

The security of your data is very important to us! The Civic Permits server farm is located in a SOC 2 certified data center with redundant power and cooling, pre-action dry pipe fire suppression, and is staffed around the clock by senior system and network engineers.

We utilize highly durable and fault tolerant storage, with multiple levels of redundancy built in. Your data is stored in a securely isolated database and is accessible only to Civic Permits senior staff and you. Sensitive information, such as passwords, are stored with SHA-256 encryption and cannot be read by Civic Permits staff. All customer information is backed up hourly and securely transferred and stored with military grade AES-256 encryption to multiple off-site locations for disaster recovery.

Finally, all our services are remotely monitored from 61 locations located throughout 14 different countries, to track uptime and response times and alert us of any abnormalities in service or performance, all in real-time.

  6. Can I open the calendar in Outlook or Google Calendar?

You can open the calendar in many popular calendaring applications, including Outlook, Google Calendar, and Apple Calendar.

  7. Are there any long-term contractual obligations?

No, you can cancel your Civic Permits agreement at any time and the cancellation will be in effect for the next annual renewal term.

  8. Can we change the facility use fees?

As part of the setup package we will input your fee schedule. You can change the use fees at any time.
